What your team can do from the phone

Answer forwarded emails

A workflow forwards the emails that match (a licence plate, a customer, a mailbox) to the right person's phone. They reply by text or voice note; Freightbox echoes the transcript and waits for a tap on Send.

Approve or reject AI drafts

When Freightbox AI drafts a reply, the member can receive it on WhatsApp and tap Send or Reject. Optional: by default only workflow-forwarded emails reach the phone.

Speak, don't type

Voice notes are transcribed and shown back before anything is sent. Built for people who are driving, in a yard, or at a warehouse gate.

Stay in your mailbox

The reply goes out from the connected company mailbox, on the same email thread. The customer never sees a phone number, and the thread shows "Replied from WhatsApp" for the team.

Built so nothing goes out by accident

A human presses Send. Every time.

Reply is a remote control for your own mailbox, not a bot that talks to customers. The safeguards are part of the product, not settings you have to find.

  • Nothing is sent without a person tapping Send or Approve.
  • Replies leave from your Gmail or Outlook mailbox, not from WhatsApp.
  • Pairing is opt-in: the team member sends the pairing code from their own phone, and an admin must have enabled the feature. Reply STOP to unpair.
  • Minimal mode sends only a reference tag to the phone, so no email content leaves Freightbox.
  • Voice-note audio is not stored; typed replies and transcripts are kept for 30 days. Audit records use identifiers, not message content.
  • Delivered over the WhatsApp Business Platform via Twilio; details in the privacy notice.
